999 Restoration (“we”, “us”, “our”) respects your privacy. This policy explains how we collect, use, share and protect personal information when you call us, book a service, visit 999restoration.com or apply for a job. It is written to meet Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

999 Restoration operates through independently owned and operated locations. Each location follows this policy when it handles your information to deliver your service.

Information we collect

  • Contact details: your name, phone number, email address and service address.
  • Details of your loss: what happened, when it happened, and the condition of your property, including photos, videos, moisture readings, thermal images and drying logs taken on site.
  • Insurance information: your insurer, policy number, claim number and adjuster contact details, when you ask us to work with your insurer.
  • Payment information: billing details for deductibles or private-pay work. Card payments are handled by a secure payment provider. We do not store full card numbers.
  • Call recordings: calls to our emergency line may be recorded for quality, training and to document your request.
  • Website data: IP address, browser type, pages visited and cookies, collected through our website and analytics tools.
  • Job applications: your resume, work history, certifications and references.

Consent

We collect, use and share personal information with your consent, except where the law allows or requires otherwise. Consent may be express, such as when you authorize us to deal with your insurer, or implied, such as when we use your address to send a crew. By calling us, booking a service or submitting a form, you consent to the uses described in this policy.

You may withdraw your consent at any time, subject to legal or contractual limits. Withdrawing consent may affect our ability to complete your service or support your claim.

Who we share information with

We do not sell or rent your personal information. We share only what is needed with:

  • Your insurer and adjuster, to support and bill your claim.
  • The 999 Restoration location that serves your area.
  • Subcontractors and trades working on your project, such as testing labs, electricians and reconstruction trades.
  • Service providers that support our operations, including job management, field documentation, estimating, phone, email, payment and website hosting. They may use your information only to provide services to us and must protect it.
  • Legal authorities, when we are required to by law.
  • A buyer or successor, if all or part of our business or a location is sold, under strict confidentiality terms.

Storage outside Canada

Some of our service providers store data in the United States or other countries. Information stored outside Canada is subject to the laws of that country and may be accessed by its courts, law enforcement or national security authorities.

How long we keep information

We keep personal information only as long as we need it for the purposes in this policy. Job files, claim documentation and financial records are generally kept for at least seven years to meet tax, insurance and legal requirements. Job applications from candidates who are not hired are kept for up to one year. When information is no longer needed, we securely destroy or anonymize it.

How we protect information

We use physical, organizational and technical safeguards to protect personal information. Access is limited to staff who need it to do their jobs, our systems are password protected and encrypted where appropriate, and our staff and service providers are bound by confidentiality obligations.

Cookies and analytics

Our website uses cookies to work properly and to help us understand how visitors use it. You can control or delete cookies through your browser settings. Turning off some cookies may affect how the website works.

Marketing messages

We send marketing emails or texts only with your consent, as required by Canada’s Anti-Spam Legislation (CASL). Every marketing message includes a simple way to unsubscribe. Service messages about an active job are not marketing and will continue while your job is open.

Your rights

You may ask to see the personal information we hold about you, ask how it has been used and shared, and ask us to correct anything that is inaccurate. Send your request to our Privacy Officer and we will respond within 30 days. We may need to confirm your identity first. In limited cases the law allows or requires us to refuse access, and if so we will explain why.

Children

Our services and website are intended for adults. We do not knowingly collect personal information from children.
